Privacy Policy

1. Who this policy applies to

This policy applies to customers, authorized users, account administrators, and visitors who access the Service, including people who create an account or authenticate with a third-party identity provider.

2. Information we collect

We collect information you provide directly, information generated by the Service, and information received from identity providers and other service providers.

• Account information: name, email address, company name, password (stored as a secure hash), role/permissions, and preference settings (such as language and timezone).
• Sign-in with Google or Apple: subject identifier, email address (when provided), and display name. We do not receive your Google or Apple password.
• Billing and subscription information: company billing profile, plan selection, invoice records, and payment status. Card details are processed by Stripe; we do not store full payment card numbers on our servers.
• Operational and fleet data: trailer identifiers, tracker/sensor device identifiers (such as IMEI or MAC), GPS location history, temperature, humidity, door/light status, voltage, motion, alarm events, and related telemetry needed to monitor refrigerated trailers.
• Communications: email, SMS, or voice notification content and delivery status when you enable alerts; support requests you send us.
• Technical data: IP address, browser/user agent, device type, approximate access times, cookies/session tokens, and diagnostic logs required to operate and secure the Service.

3. How we use information

We use personal and operational information only as needed to provide and improve the Service.

• Create and authenticate accounts, including Sign in with Google and Sign in with Apple.
• Provide live trailer monitoring, maps, alarms, reports, and user administration features.
• Send transactional messages (verification, invites, password resets) and alert notifications you configure (email, SMS, phone, or in-app).
• Process subscriptions, invoices, and payments through Stripe.
• Maintain security, prevent abuse, troubleshoot issues, and comply with law.
• Improve reliability and product quality using aggregated or de-identified operational metrics where practicable.

4. Legal bases (where applicable)

Where required (for example under the GDPR), we process personal data based on contract performance (to provide the Service), legitimate interests (security, service improvement, fraud prevention), consent (where requested), and legal obligations.

5. Sharing of information

We do not sell personal information. We share information with processors that help us run the Service, under contractual confidentiality and security obligations, and only as needed for their role:

• Google and Apple — identity authentication when you choose their sign-in buttons.
• Stripe — payment processing and billing webhooks.
• Mailgun — transactional and alert email delivery.
• Twilio — SMS and voice alert delivery when enabled.
• Google Maps Platform — map display and related location visualization in the product UI.
• Hosting/infrastructure providers that host the Service and databases.
• Professional advisors or authorities when required by law, or to protect rights, safety, and the integrity of the Service.

6. Location and telemetry data

Prokobi Cold Chain RTS is a cold-chain monitoring service. Location and sensor telemetry are core product data used to show trailer status, generate alarms, and produce reports for your organization. Customer administrators control user access within their company. We do not use fleet telemetry to advertise third-party products to end users.

7. Cookies and similar technologies

We use essential cookies and similar storage for authentication sessions, CSRF/OAuth state protection, and basic preferences. These are required for the Service to function. We do not use third-party advertising cookies on the Service.

8. Data retention

We retain account information for as long as your organization maintains an account and as needed for billing, dispute resolution, and legal compliance. Telemetry, alarm, and report data are retained according to product configuration and operational needs, then deleted or anonymized when no longer required. You may request deletion of personal account data as described below, subject to legal retention requirements.

9. Security

We implement administrative, technical, and organizational measures designed to protect personal information, including encrypted transport (HTTPS/TLS), hashed passwords, access controls, and least-privilege practices. No method of transmission or storage is completely secure; if you believe your account has been compromised, contact us immediately.

10. International transfers

The Service may be hosted and processed in the United States or other countries where we or our processors operate. Where required, we use appropriate transfer mechanisms and contractual safeguards.

11. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or export personal information, object to or restrict certain processing, and withdraw consent where processing is consent-based. Account users can update many profile settings in the Service. For privacy requests, email us at the address below. We may need to verify your identity before fulfilling a request.

If you signed in with Google or Apple, you can also manage or revoke the Service’s access from your Google or Apple account settings. Revoking access does not automatically delete your Prokobi account data unless you also request deletion.

12. Children’s privacy

The Service is a business product and is not directed to children under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Material changes may also be communicated through the Service or by email when appropriate.
